Adding and Managing Custom Fields

To add new custom fields open up Operational Settings on the left hand menu bar and then click Signatory Fields.
The top panel will show any existing fields that you have set up, the parameters that they have and which entities it is avaliable in.
Beneath that the second panel has the form for creating a new field.
There are 6 fields to populate:
- Field Name
- Entities - What entities this field will be avaliable for
- Optional/Mandatory
- External/Internal - External fields are shown on the PDF/Share Links. Internal fields are not.
- Fixed/Variable - Whether the field is fixed or variable per list.
For example, a signatory has a custom field "Category". If Category is a fixed field, then the signatory will have the same value across all lists (eg. Category A). If Category is a variable field, then the signatory can have different categories across different lists (eg. Category A and Category B).
- Multiple Choice - The two options are:
- Freeform - a free format text field
- Multiple Choice - a drop down field requiring you to populate the possible values
For example, below we are adding a field called Category with three possible values:
- A
- B
- C
Editing Custom Fields
To edit a custom field, click on the edit icon on the far right of the field you wish to edit.
Certain parameters cannot be changed once the field has been used. For example, if a field is being used for an entity then you cannot make it mandatory.
If the field is not multiple choice you can edit the name as well as whether it is mandatory and/or internal.
If the multiple choice you have a few more options:
You can edit any of the individual values that you have in the dropdown.
You can also add new values and change the order with which those fields appear in the dropdown selection box.
Signatory Column Sorting Order / Column Visibility
At the bottom of the page you have the ability to rearrange the column order, as well as decide which columns to display on the Signatory page.

Beneath column sorting order and visibility, there is an option to change the way that signatories are ordered within an entity (the default/next field used is the surname).
Name Sorting Order
It is also possible to change whether signatories are sorted by first name or last name. This is used when no fields are selected for sorting or as a tie-breaker for identical field values among signatories.
For example, if there are two signatories of Category A and this setting is set to Last Name then those two signatories will display in order of their last name. If the setting is set to First Name, then they will display in order of their first name.
