Share via a Link

Links can be created to share either internally or with third parties. Links can be dynamic or of a fixed date/time and can be protected with a password if required.

To Create a Link

• Navigate to the entity/list you wish to share
• Click on "Share By Link"

• Click on +Create for a new link

The following fields are avaliable:

Entities

This will be pre-populated with the current entity. However, it is also possible to select multiple entities to create multiple share links at once.

Date

• Dynamic or Fixed
• Dynamic: the link is always pointing to a real time view of the list. Whenever the link is clicked it will show the details of the signatories at that point in time.
• Fixed: allows you to set a specific time/date that is never deviated from. The link will always show that date/time.

When the date field is set to Fixed some addtional options are shown:

A further selection is needed, either:

• Current Date: a fixed date link will be created with the exact date/time that you create the link.
• Custom Date: a fixed date/time from anytime since the list was created.

Expiry Date

Share links can be automtically expired so they are no longer accessible by anyone. This can be done for any number of reasons.

If the expiry date is disabled then the link will not expire.

If the expiry date is enabled then you need to select an expiry date.

In the share link view for that entity/list the expiry date will be visible:

Once the expiry date is met the link will no longer be viewable. If clicked, the following message will be displayed:

A share link can be edited and the expiry date reset if needed.

Admins are automatically notified about expiring share links. For more information, see Operational Settings -> Share Link.

Password Protection

A password can be added to the link, and therefore required any time a user tries to access the link. To view the password, from the share link list view, click the eye icon:

It's possbible to track who views a share link once it's been sent out. See Share Link Tracking for more information.

Any comments added here will only be shown internally.

From the list view, the options to the right of the link allow you to share the link via email, copy the URL, view the PDF, edit or delete the link:
