It is possible to be able to track exactly who opened and viewed a share link and when.
There are two settings to control share link tracking, and can be found in the Security section of IT settings. This means this setting is only available to users with the IT admin permission.
- Share Link Tracking
This is the default setting that is applied to existing and newly created share links. The default is disabled. - Optional Share Link Tracking
Turning Optional Share Link Tracking on allows the default setting to be overridden at share link creation. This allows your organisation to have a combination of tracked and untracked share links.
The table below explains the outcome for both new and existing share links, depending on which settings are enabled/disabled.
Share Link Tracking | Optional Share Link Tracking | New Share Links | Existing Share Links |
---|---|---|---|
Enabled | Off | Tracking will be on by default and cannot be changed | Tracking will be turned on and is uneditable |
Enabled | On | Tracking can be turned on/off by the share link creator | Will remain in their previous state but can be edited |
Disabled | Off | Tracking will be off by default and cannot be changed | Tracking will be turned off and is uneditable |
Disabled | On | Tracking can be turned on/off by the share link creator | Will remain in their previous state but can be edited |
It is easy to tell at a glance whether tracking is switched on from the share link index:
Clicking on a view number will display the email and IP address of who clicked on the link and when.
